Away From The Desk, Still in Sync: Our Virtual Team Secrets

How Lawson House Makes Remote Work…Work

Every Monday morning, the Lawson House team logs on from laptops across the Southeast, the Gulf, the East Coast, and NYC. Coffee in hand, cameras flipped on, and we start the week together, fully remote and fully locked in.

While plenty of teams have survived the virtual shift, we’ve done more than just adapt—we’ve built a system that thrives in it. Since launching in 2020, Lawson House has been 100% remote, by design. That freedom has shaped how we work, who we hire, and how we show up for our clients.

Whether you’re trying to make virtual work a success this summer, or deciding whether to keep your team remote—we’ve got you. Here’s why we love the remote model, and exactly how we’ve made it work without sacrificing quality, connection, or clarity.

Why Remote Wins

We’ve heard all the reasons not to go remote. But after four years, we’re still all-in because we’ve seen firsthand how this structure allows our team (and our clients) to do their best work.

Here’s why we’re sticking with it:

  • Talent > zip code. We hire the best of the best, not just the best within 30 miles of a home office.

  • Fewer distractions = better results. Less time spent in meetings and more time making things that matter.

  • Flexibility that fuels creativity. A midday walk, yoga class, or coffee run? It’s not “slacking”—it’s recharging so we can stay sharp.

  • More value for clients. With lower overhead, we can pass the perks to the people who matter most.

  • It’s built on trust. Everyone knows their role, owns their work, and shows up fully—no micromanaging needed.

Processes That Make it Possible

Let’s be real: remote only works if your systems actually work. Here's how we keep projects moving, stay connected as a team, and deliver high-quality results without missing a beat.

Monday Team Meeting

We kick off each week with a short, high-energy team call—just 20 minutes with the whole crew. It’s equal parts “what’s up” and “what’s next.”

Here’s our agenda for a fun and productive Monday meeting:

  • Icebreaker

  • High-level project updates

  • Company-wide goals

  • Shoutouts and team wins

  • What’s trending?

  • Troubleshooting or roadblocks

💡 Why it works: It sets the tone for the week, keeps everyone aligned, and strengthens team culture.

Department Check-Ins

Once the group call wraps, we jump into department-specific meetings to break things down. This is where strategy, project planning, and real-time problem solving happen.

💡 Why it works: Focused time with the right people keeps everything moving forward without overwhelm.

Weekly Client Updates

Yep—every single week. Our clients get a quick project status email letting them know what’s been done, what’s coming, and what we might need from them.

💡 Why it works: It sets expectations, minimizes back-and-forth, and builds serious trust.

Proofing Process

Before anything goes out the door, it passes through at least two team members for review. Whether it’s copy, design, or strategy, we double-check the details to ensure it’s right.

💡 Why it works: It’s our insurance policy for quality. No typos, no misfires, just polished work clients can count on.

Tools That Make It Feel Like We’re in the Same Room

We’ve tested dozens of platforms, apps, and systems over the years. Here are the ones we’ve stuck with because they actually work:

  • Slack – This is where we live during the workday. We keep channels for projects, clients, shoutouts, and all the little things that keep culture strong and communication fast.

  • Coordinate (CRM) – This is our project management tool and CRM in one. It gives both our team and our clients a birds-eye view of deliverables, due dates, and approvals. Clients can leave comments directly on files, request changes, or ask questions without digging through email threads.

  • Loom – A total game changer. Loom lets us record our screens (and ourselves) to walk clients through new websites, branding, or design work—complete with screen sharing and real-time commentary. Clients can send one back, too, on their own time.

  • OpenPhone – Our entire team shares one professional phone number, making it easy to call or text clients from anywhere, with full visibility across the team.
