Away From The Desk, Still in Sync: Our Remote Meeting Rituals

Keeping Team Energy High: Our Remote Meeting Rituals

In a fully remote setup, meetings become more than just status updates — they’re the glue that keeps everyone connected, aligned, and energized. At Lawson House, we've intentionally shaped our meeting structure so that remote never feels like distant. Here’s how we do it — and why it works.

The Structure: Short, Sharp, and Purposeful

We begin every week with a 20-minute all-hands call. This isn’t a drag on calendars — it’s a punchy kickoff designed to set the tone for what’s ahead. Our agenda typically follows this rhythm:

  • Icebreaker (2–3 minutes)

  • High-level project updates

  • Company-wide goals

  • Shoutouts / team wins

  • What’s trending?

  • Troubleshooting / roadblocks

Why this format? Because it addresses both the human and the tactical. The icebreaker warms people up. The project updates maintain alignment. The shoutouts build culture, and the troubleshooting helps us clear obstacles before they grow.

After the all-hands, we break into department-level check-ins, where strategy, tactics, and real-time planning come alive among the people who need to collaborate closely.

Why It Works

  • Time-conscious: 20 minutes keeps things focused and efficient.

  • Cultural reinforcement: Regular icebreakers, shoutouts, and wins keep connection alive even across distance.

  • Transparency and alignment: Everyone sees the big picture and how their work fits into it.

  • Proactive problem-solving: Roadblocks surface early, rather than lurking in silos.

Icebreakers: Caroline’s Favorites to Kick Off the Week

We believe starting with something light, human, and fun helps everyone arrive in a present state. Here are some of Caroline’s go-to icebreakers that we rotate into our Monday meeting:

Caroline’s Copy-and-Paste Icebreakers: Keep it light, personal, and fun.

  • What’s something you did this weekend that felt like summer?

  • Favorite snack for powering through work-from-home days?

  • What’s the last thing you learned on TikTok?

  • Get more icebreakers here

These might seem simple — and that’s the point. They require no prep, let everyone speak, and often spark side conversations or laughter.

If you want more ideas (for variety or thematic weeks), you can use Caroline’s copy-and-paste icebreaker list to mix things up.
